What is MergeLabs, and what problem does it solve for events?

Real-time Coordination Management Solution

MergeLabs is a dedicated coordination management solution for corporate event planners and large game producers with complex schedules. It is built to distribute localised schedules, notes, tasks, and push notifications to the right people at the right time.

What is the operating insight behind MergeLabs?

Coordination work is multi-dimensional and generic solutions can’t manage that

The big insight that drives MergeLabs is that an event is comprosed off many activities that are chained together. The core of each activity is that there are multiple perspectives that need to be coordinated for each time and place information. Staff, volunteers, service providers, guests, MC, competitors, every stakeholder need to see the same time-place information from their own perspective. This multi-dimensional nature of an activity gets lost when using generic spreadsheets for schedules, dissconected task management solutions, and separate messaging apps. MergeLabs has built a platform, that allows you to tailor your coordination information for each perspective without loosing the link to the core activity. You don’t have to be the glue that holds it all together.

Why should I move from my spreadsheet schedules to MergeLabs?

You will reduce manual work, avoid mistakes and provide a better experience for everybody

If your schedule is super straight forwrad and simple, you might not need MergeLabs, unless you have complexity due to localization challenges. However, with spreadsheets, the moment you need to create multiple versions of the program to tailor it to each role, person or event station, you will be struggling with keeping everything up to date, communicate changes in many different places and risk loosing oversight. You will stay awake at night thinking if you’ve made the last changes on all the different places. MergeLabs maintain all these connections for you, so you only change it in one place and each sub-schedule, or runsheet, run of shows, itinerary and program all automatically get changed for you.

How is MergeLabs different than other task management solutions?

For events, the schedule, not tasks, is king

Traditional task management solutions are date-driven and have the task as the central unit. MergeLabs is minute-driven and has the schedule as the central unit. All tasks and notes are nested under the activities (schedules and run sheets), ensuring clarity on what needs to be done at each activity and enabling managers to track progress at each activity.

How is MergeLabs different from other event ticketing solutions?

For complex events, tickets and schedules need to be connected

Traditional ticketing solutions are all built around the “ticket” as the focal point. You still have to manually associate each ticket with its appropriate schedule for guests, and it is completely isolated from your operational schedules. MergeLabs’ ticketing infrastructure is tightly connected to all your schedules. And it is modular, so that you can endlessly segment your audience without ever losing track of who should be receiving what program, whether it is a guest, volunteer, or service provider. All your booking needs can be handled from the same platform.

How is MergeLabs different from other event management solutions?

Sadly this term is used for everything and lost it’s meaning

The term “Event Management” is sadly now used for everything from Ticketing and Guest Management to vendor management. This is why we’ve coined the category “Real-time Coordination Management,” since our focus is to help you streamline your coordination challenges that exist for every larger event production.

At what point is it beneficial for me to use a solution like MergeLabs?

When your event is so important that you don’t want to risk avoidable mistakes

If you run a simple event with a straightforward single schedule, you don’t need MergeLabs. But if your schedule starts to be too complex for staff and guests to digest and you start separating between your master schedule and all the derivatives of that schedule for different perspectives, this is exactly the right moment to use MergeLabs to save yourself a lot of time, reduce mistakes, and easily communicate changes across all the various schedules and runsheets.

What are the top three pain points MergeLabs is solving for?

Avoiding preventable mistakes, fear of complexity and loss of oversight!

Painpoint 1: You know that feeling of dread you have when you are not sure if you updated the schedule changes in all the different places? MergeLabs completely removes this fear since everything is interlinked.

Painpoint 2: The fear that your schedule is too complex for someone you really want to have at a session. MergeLabs resolves this with an intuitive, fully localized program and push notifications.

Painpoint 3: Maintaining oversight of several hundred staff and volunteers, ensuring everyone is aware of current activities and has the latest schedules and tasks, is a huge undertaking. MergeLabs totally streamlines this work and centralizes all the information so you instantly know what is going on at every corner of your event.

How can MergeLabs help me gain more visitors and volunteers for my event?

Through the power of audience segmentation

One of the most powerful tools for increasing revenue, attendance, and generally reaching more people is through “Segmentation”. By segmenting your audience, you can tailor your communication to each segment’s preferences, reach them through their preferred channels, and make offers that resonate with them. MergeLabs enables you to create Isolated booking pages, allowing you to design any combination of messaging, registration flow, and price offers. Each booking page has its own unique URL that you can use with partners, affiliates, in different newsletters, and more. Importantly, no matter from which page people come, you have full control over which schedules and programs they receive.

Can I send push notifications and alerts to my guests’ phones using MergeLabs?

Yes and yes to both iOS and Android phones

Yes, MergeLabs has developed two native iOS and Android apps that enable you to send push notifications visible on users’ phones, even when the app is not open. And also, read more information in the Alert that is stored on their phones.

Can I schedule my push notifications to be sent at a certain time?

Preload work to free yourself up on the days of your event

Yes, you can schedule all your phone push notifications as well as your email notifications to be sent at specific times. This way, you can prepare everything ahead of time to stay focused on more important tasks during the event.

Does the MergeLabs App work even when the internet is spotty or not available?

Yes, information is cached on the phones, so you can be sure that your agendas are loading

Yes, MergeLabs Guest App caches all event information on the guest’s phone so they can access it even if the network is overloaded or if your guests are on a plane without internet. At larger events, even if the phone shows strong internet signal, it does not mean that people actually can access the internet since too many people are trying to reach it at the same time. By having the schedules and additional information locally cached on participants phones, you can ensure that it is going to load.

Which languages does MergeLabs support?

You can offer your guest schedules in most languages

All your public schedules can be localized in any left-to-right language. For right-to-left or top-to-down languages, we have partial support, so it will depend on how you want to use it. But upon request we can build full support. Our back-end infrastructure is currently primarily in English, German and Spannish. However, additional languages can be added upon request.

Is MergeLabs good for day-of-event coordination?

Day-of-event Coordination is MergeLabs strongest capabilities

This is where MergeLabs shines the most! Adjusting schedules on the fly and having these changes propagate across all programs and runsheets is the platform’s core competency. Even more, you have a dashboard where you can see how each task is progressing within each activity, and with our chat function, you can start conversations for each activity.

What is a Coordination Data Hub, and why should I care about it?

A single place of truth for your schedules, tasks, notes, alerts and conversations

A Coordination Data Hub is the central concept of the MergeLabs platform. It is a single place of truth where all your schedules, runsheets, tasks, notes, alerts and conversation centralized across your entire event portfolio. As we are ushering into the AI era, having well-structured, JSON-formatted data (best for AI), is key to future-proofing your events and benefiting from all the AI services that are rapidly coming. This will ensure that information is not bottlenecked anywhere and that you can empower people to get their jobs done.

Does MergeLabs have any AI features?

We are building the infrastructure that allows instant and error-free AI features

Whilst MergeLabs does not yet have any AI features, it was built from the ground up to deliver very powerful AI capabilities at maturity. Our strategy is to build the individual building blocks that help an AI agent execute your requests without errors. Generic LLM-based Agents create too many mistakes to be reliable in high-stakes cases like Events, where information changes many times faster than AI can train on it.

Is MergeLabs secure to use?

We’ve built in state of the art security infrastructure

Absolutely! We use a “double-handshake encryption” protocol for our alerts, so no one can hijack your event and push their own notifications.
We use a tool called HashiCorp Vault to store all sensitive information, so it is not just sitting in a database unprotected.
We make a very clear separation between infrastructure that is accessible from the outside, and infrastructure that runs the infrastructure.
These are just some of the many security best practices we’ve followed.

My event is very large, and you will have several thousand people hitting your servers at the same time. Can MergeLabs handle that?

MergeLabs is built to handle any scale

Absolutely! MergeLabs is built to automatically and instantly scale capacity with demand. We can even pre-load capacity in anticipation of high demand. Furthermore, MergeLabs is built on state-of-the-art, scalable technology from Microsoft .NET9, and we are already starting to shift to .NET10 as it’s being released. This framework is built for high-stakes large productions.

Can MergeLabs handle role management?

Yes, with MergeLabs you can define role specific access

Yes, you can for example, even define which roles can see guest emails and which roles can’t. So you can have staff support your event without risking sensitive information exposure.

How does MergeLabs capture tacit knowledge from event staff and volunteers?

As you build your event, you capture tasks, notes and conversations in one place

You can have staff and volunteers build their schedules, tasks and notes. They can also hold all their chats within the platform. All this information is stored in a structured way, and since you can clone an even from one edition to the next, even if you shift time zones, you can bring along all that information generated by your teams and use it as a starting point for your next event.

Why should I not just use messaging apps like WhatsApp for everything?

It introduces too much risk to large events

For smaller events, putting your teams and guests in different messaging tools will work just fine. However, as events grow or increase in complexity, these channels become extremely cluttered and quickly both you, your staff, and guests all start losing oversight and miss critical information. Especially if you use these channels both to check in, share information, send reminders, announce changes etc. Considering how much you’ve invested in making your event happen, the risk you are exposing yourself to by using generic tools will just be too high. Also, if you have an international team, it will be very unlikely that they are all going to have the same systems.

Which specific tools does MergeLabs replace?

Spreadsheets, task mgmt, messaging apps and ticketing solution

MergeLabs is designed to replace generic tools that are used for coordination challenges. Some common examples are:
Spreadsheets to build schedules, keep track of itineraries, and checklists.
Task management solutions to build task lists that are shared with people.
Event booking and ticketing solutions that handle the guest onboarding side of coordination.
Instant messaging apps to communicate during the event
With MergeLabs, you get to solve all the needs that you fulfill for your coordination challenges with one structured and integrated solution.

What is the main vision behind the MergeLabs platform?

Help you handle complexity with ease

The main vision of MergeLabs is to help you master complexity with ease. We want you to focus on how you can maximize the impact you wish to make without having to keep things simple just because your operational capacity cannot handle it. Don’t leave “impact” on the table; instead, get the tools that can help you handle the complex with ease.

How can MergeLabs help me ensure the ROI of my event investment?

It helps guide people to critical activities and bring more guests to the event

MergeLabs reduces the likelihood that your guests will miss critical activities through timely delivery schedules and fully localized push notifications in their preferred languages.

MergeLabs also increases your likelihood of attracting more people to your event through its partner and affiliate infrastructure for booking/ticketing.

How easy is it for me to re-run my events using MergeLabs?

It only takes seconds, and we even reset all the tasks for you

One of the powerful features of MergeLabs is your ability to clone an event. It only takes seconds to clone and reuse all your schedules, notes, tasks, and runsheets from one event to the next. It can even adjust the individual activities not only to the new dates, but also to new time zones.

What is so special about MergeLabs scheduling capabilities?

Build it once – get all the views

The core principle behind MergeLabs schedule builder is that you build the schedule once, and right away get to see it in agenda view, roles view, premises view and various other perspectives that help you make better decisions about your program.

Can I easily move schedules around?

Use drag and drop to change the schedule

You can easily make schedule changes using our drag and drop interface. An activity is moved to another space? Just drag it there. Is the date shifted? It’s just one simple drag and drop away from being adjusted. Importantly, you only need to change this in one place, and the information is populated across all your runsheets and programs that is linked to that activity.

What if we want something custom? Can MergeLabs build it for us?

Your custom need can guide our road map

As a young startup, we work very closely with our clients to build the solution in a direction that serves our clients. If you want it to have a specific function, we will work with you to explore how we can best provide that feature or capability.

What is an “Enriched Environment”?

Highly positively stimulating experiences

As an ex-Alzheimer’s researcher, Ali became fascinated by the concept “Enriched Environments”.

It was shown in rodents that intensely stimulating experiences and environments significantly regenerated neurons, helping prevent dementia and depression.

Because of this, Ali dedicated 20 years of his life to creating Enriched Environments worldwide.

MergeLabs is built to help you build greater Enriched Environments for your guests.
